Your Contract with Village Cruise and Travel, Inc.
All vacations are subject to the terms and conditions of this Village Cruise and Travel, Inc. Fair Trade Contract and your booking of the vacation is acceptance of the terms in this contract.

Bookings and Payments:
To reserve your vacation you must provide us with the full legal names of all passengers and their birthdates along with the full required deposit. The full deposit for the entire reservation must be received before the reservation can be completed. Individual deposits do not guarantee the pricing. The balance due must be paid by the due date stated on your invoice. In some cases full payment may be required at time of booking if the reservation is made after the normal final payment due date for your departure date. We reserve the right to treat the booking as cancelled by you if the balance due is not paid on time. Late fees may be added, if your payment(s) is not made on or before the due date(s). It is your responsibility to check the spelling of the names on your invoice. Failure to advise Village Cruise and Travel, Inc. of misspellings within 24-hours may result in name change fees being charged.

Travel Documentation:
We assume, unless notified that all passengers are United States citizens and residents. If you are leaving the country via air all passengers, regardless of age, are required to carry a undamaged passport. Most countries require it to be valid for 6 months past your return date. Most cruises require everyone, regardless of age, to carry Proof of Citizenship, which is: A) your original or notarized birth certificate, with a raised state seal, plus a state issued photo ID. You will also need to show how your name changed from your birth certificate to the photo ID if the names do not match. Or B) a passport. Certain cruises will allow travel with a Passport Card. Cruises to and from different ports require Passports for travel. Domestic travel requires everyone over 16 to carry a state issued photo ID. For domestic travel and cruise travel after October 1, 2020 you will need an enhanced state ID in addition to the above mentioned birth certificate. Passports or proof of citizenship is not required to book your trip. But, it is your responsibility to have proper documents for travel. Not being able to obtain proper documents for travel, for any reason, will result in full cancellation fees being charged. Minors traveling with one parent/guardian internationally are required to have a signed notarized permission letter from the non-traveling parent. You take full responsibility and must determine the proper documents needed before traveling. Failure to have proper documents will result in denied boarding and will result in full loss of monies paid. 

Cancellations, Fees & Revisions:
All cancellations must be in writing. Cancellation notices may be delivered via mail to Village Cruise and Travel, 2418 West 103rd Street, Chicago IL 60655, emailed to kevin@villagecruiseandtravel.com or faxed to 773 233-7791. If your cancellation request is received during business hours you will get a confirmation confirming that your cancellation has been received and processed. If you need to cancel when the office is closed you must call 630 452-4316 and inform us that you are sending a cancellation request that needs immediate attention. Cancellations are not confirmed or executed and are considered pending until you receive a confirmation of cancellation from us. The following cancellation policies apply to all vacation packages purchased with Village Cruise and Travel, Inc. unless otherwise stated in a written contract, approved and signed by an agent or a representative of Village Cruise and Travel, Inc. Cancellation fees from Village Cruise and Travel, Inc. and the tour/cruise company may be charged at any time after deposit is made. In most cases the minimum cancellation fee, if cancelled before your final payment due date, is your deposit plus airline / other supplier cancellation fees. Cancellation fees will increase as you get closer to your trip departure date, in most cases becoming non-refundable at some point, usually after the final payment due date. There is also a $75.00 per person administration fee on any and all cancellations after deposit is made. Name changes are not allowed in most cases. If a travel provider allows name changes there may be a fee. Deposits are non-transferable to others in your party or to passengers added to replace a cancelling person, when that option is available. Any revisions or amendments to your departure date, number of travelers, flight, duration, class of service, departure city, destination, or hotel, may necessitate full cancellation and re-booking of your trip at current applicable rates. If changes require a cancellation and re-booking all applicable penalties will apply and additional deposits may be required. For example, if the number of individuals occupying a room changes due to a cancellation, the remaining travelers are responsible for any additional costs incurred as a result of the change. A reservation change fee of up to $100.00 per person per change may be charged for any and all allowed changes after deposit is made. This is in addition to any supplier change fees.

Privacy Policy:
Village Cruise and Travel, Inc. will not provide any information regarding your travel plans to anyone else, even your family members unless you tell us to release that information. We share your personal information as necessary with airlines, tour/cruise companies and other suppliers who you are booked with. We will not sell your data or trip information to any third party. It may be used to send you future travel ideas or promotions from ourselves or our suppliers.

Travel Insurance:
Trip insurance is added to your invoice and is highly recommended. Quoted insurance price is based on current age and cost of trip. Age changes prior to insurance purchase may require the re-pricing of you policy. If any changes are made to the reservation, which increase your total cost, insurance may need to be repriced. If insurance is paid for and activated within 14 days of your initial deposit, there are additional benefits, including pre-exiting condition waivers that will be included with the policy. Insurance will protect your investment, if you need to cancel for a covered reason, and has a wide range of additional features. If you chose to remove insurance, via signed waiver, you can add it back to your trip at anytime, but it has to be added before something happens that you need to be covered for. Trip Insurance is not activated until it is paid for. It is your responsibility to tell Village Cruise and Travel, Inc. that additional payments made to your reservation/invoice are to activate the insurance. Once activated you will receive an updated invoice showing a policy number as proof of activation. Policies go into effect at 12:01AM the day after you receive your policy number. There are additional extra coverages available including hospital of choice, ask your agent for details and pricing.  

Ticket Delivery Options:
In most cases tickets are electronic. Village Cruise and Travel, Inc. will provide you with a printed copy of your tickets, that will include: contact information in case of problems during your trip, transportation information including reservation numbers, as well as hotel and other needed service information. Tickets should be available, for pick-up at our office, no later than 10 days prior to your departure date. If travel was booked within that time frame they will be available within 48-hours after booking or sooner. You may also request to have your ticket delivered via mail or email. Some tour/cruise companies allow you to pre-purchase excursions, additional packages or check-in online before departure which you can access at anytime through their website usually with your confirmation number, which is located on your invoice. We will provide you with copies of your tickets even if you choose to take advantage of this service. By us doing your electronic check-in you agree not to hold Village Cruise and Travel, Inc. or its agents responsible for agreeing on tour/cruise companies on-line check-in platforms to required check-in information you have not disclosed to us. It is your responsibility to review all tour/cruise terms and conditions that we accept on your behalf during the check-in process. 

Additional Information:
Room bedding type, views/locations or any other request are not guaranteed unless specifically stated in the description on your invoice. Ports and other custom unique events, including but not limited to weddings and festivals are subject to change and/or cancellation without notice or recourse and do not void or alter cancellation fees. If any person in the party has had a DUI there may be restrictions on travel to Canada or other countries. There may also be restrictions on traveling while you are pregnant. Failure to notify us of any DUI, felony convictions, pregnancies or any other factor that could result in you not being able to travel may result in involuntary cancellation of your trip and loss of your total trip cost without recourse. The airlines may, without notice or recourse, change or modify your flight times, and/or dates and even the number of stops to get you to your destination. At time of ticketing, we provide the must up to date information available to us. If you miss your flight for ANY reason, including a schedule change, your ticket may not have any value and you may need to buy new tickets to reach your destination. it is your sole responsibility to re-confirm your flight times before departure. Baggage and seat fees and other charges may be directly assessed by airlines or airports. The air portion of your package may be booked outside of the tour/cruise company, at our discretion, if this is done the air portion of the price will be non-refundable. If you cancel your trip after the air tickets have been issued the value of the ticket, less an exchange fee, may be used for other air transportation on the same airline on any route they fly, and is valid for one year from date of issue; this usually only applies to scheduled publish airfare and may not apply to all airlines or bookings. Village Cruise and Travel, Inc. acts only as an agent in capacity for air carriers, hotels, tour and cruise operators, and other suppliers of services and shall not be held responsible for any injury or for any loss or damage caused by accidents or events beyond their control, or by any action or negligence of attendants or third parties who are not in their employ. Village Cruise and Travel can accept no responsibility for losses or additional expenses due to delay or changes in air, sea or other services, sickness, weather, strike, war, quarantine or other causes. The right is reserved to decline service to any person for any reason. Baggage, seat and other fees may be directly assessed by airlines or airports. Additional terms per the tour/cruise brochure, on-line check-in and tickets may apply.
